Sending data via email

We are committed to protecting our customers’ information and keeping it safe and secure.

Emails that are sent over the internet can potentially be intercepted by others between the sender and recipient. To fulfil our commitment to protecting our customers’ personal information we are adding an extra layer of security when emailing customer data. This will help protect it, should the email be intercepted while in transit.

What are the options?

• WinZip and what to do if you do not have WinZip

TLS – Transport Layer Security
TLS is the simplest and most secure way of protecting personal data when sending it via email. It is a type of connection that provides increased security for information sent by email between networks of computers such as those on the internet. TLS is only really suitable for business to business communication and is not aimed at consumers.

How to use TLS
1. Confirm with your IT support provider that you have TLS enabled or can have TLS enabled. If you do not have TLS enabled or are unable to, then please see the other alternatives for keeping data secure. Your IT support provider will be able to provide you with information on how to set up TLS.

2. Decide whether you want one-way TLS (secure emails from us to you) or two-way TLS (secure emails in both directions). If you decide to have a two-way TLS link with us, then we will need an IT contact within your company or IT support provider.

3. Contact your usual Friends Provident contact to let them know that you have TLS enabled and would like to set up a one-way or two-way link with us, as well as an IT contact if you want a two-way link. They will then be able to contact our IT Security team to set this up for you.

4. After the TLS link has been set up all emails from us to you will be automatically sent securely.

WinZip and 7-Zip
WinZip version 9.0 or above allows us to encrypt data when sending it out via email. It offers a very good level of encryption and is widely used by companies around the world.

If you do not have WinZip and are unable to install it or purchase the licence, we recommend you use the free 7-Zip application, this is an award-winning application that supports the WinZip files we send out.
